Act! CRM Develpment
Act! CRM Consultant: Stop Managing Contacts. Start Running a Sales System.
If your Act! CRM holds thousands of contacts and your team still chases deals through spreadsheets and email threads, the problem is not Act!. The problem is that nobody has configured it to match the way you actually sell, and nobody owns keeping it that way. An Act! CRM consultant from Facet fixes both halves: we rebuild the configuration around your real sales process, connect it to the tools your team already uses, and then run it as a continuously monitored system. We can staff that last part credibly because we had to solve it for ourselves first — the checks that keep any system honest are the checks people quietly stop running, so Facet handed ours to agents working under human command years before we sold the idea to anyone.
The checks that keep a CRM honest are the ones a person always stops doing
This is not a discipline problem, and pretending it is has wasted a lot of consulting money.
The work that keeps a CRM accurate has a specific and awkward shape: it takes five minutes, it has to happen every day, and it almost always finds nothing. No business can justify a headcount for that, and no motivated person sustains it, because the ninetieth consecutive clean result teaches you the check is unnecessary. So the check stops. Nothing breaks. Four months later the reporting is wrong and nobody can say when it started.
Facet ran into exactly this inside its own operations. Our research, quality review and reporting all move through agent loops now, and the reason is not that agents are clever — it is that agents are indifferent. An agent runs the ninetieth check exactly like the first, and the day it finally finds something, it finds it on the day it happened rather than in the following quarter.
That experience shows up in your engagement in three concrete ways.
- We know which checks are worth running, because we tuned that list against our own false alarms first. A monitoring setup that cries wolf gets muted, and a muted alert is worse than no alert — it is a control that everyone believes is working.
- We do not sell you a dashboard and call it monitoring. A dashboard reports to whoever opens it. A loop produces an exception list and puts it in front of a named person whether anyone opens anything or not.
- Humans stay in command. Agents do the reading and the flagging. A person decides what a stage means, which duplicate is the real customer, and whether anything gets written to your records.
Most Act! migrations are configuration problems wearing a platform costume
Here is the pattern behind nearly every call we get about Act!, and it is the one claim on this page a generic CRM consultancy would not make.
Act! is a platform businesses stay on for a very long time — often a decade or more, often on Premium Desktop, frequently with a database that predates half the current staff. That longevity is real value. You own your data, the per-seat economics do not drift upward every renewal, and the relationship history is genuinely yours.
It is also exactly what makes the drift so large when it arrives. Your sales motion changed. New products, new territories, a different close process, two acquisitions of a competitor's client list. A CRM is the only system you own that has to be re-fitted every time the business changes — and the only one where nothing breaks when it isn't. If your accounting system stops describing the business, the month-end close fails and somebody escalates within days. If your CRM stops describing the business, reps just work around it. The failure is silent by design, which is why it is always found late and always found large.
By the time it is visible, the gap between the configuration and the company is measured in years. A rebuild starts to feel like the same amount of work as a move — and that is the moment most people start pricing migrations.
So the honest read is this: most Act! migrations we get called about are configuration problems wearing a platform costume. Sometimes the move is genuinely right, and we will tell you when it is. But the question worth answering first is cheaper than the migration and often settles it.
What the loop actually does
Ongoing Act! management at Facet is an Agent Loop — a defined set of automated passes and human checkpoints running on a stated cadence. The automated passes cover the work agents are genuinely good at: high volume, mechanically checkable, and almost always fine.
- Read a decade of records, not a sample of them. Act! databases are old by design — that is the point of staying on one platform — so the drift is measured in years of accumulated convention: contacts created under three different field standards, opportunity stages renamed twice, custom tables somebody added for a process that ended in 2019. A person samples a database like that and finds the recent half. An agent reads all of it, including the part nobody has opened since the last admin left.
- Watch the integrations for silence. Sync error rates, failed API calls, and lag between Act! and email, calendar, billing or your web forms. The failure that costs the most is not an integration that errors loudly — it is one that stopped four months ago and told nobody.
- Score the pipeline against its own definitions. Opportunities sitting past the normal dwell time for their stage, close dates that have moved three times, stages showing progression with no activity behind them. These are conformance checks, and conformance is countable.
- Draft the corrections rather than just reporting them. The weekly output is not a list of 300 problems. It is a proposed merge for each duplicate, a proposed value for each gap, and a ranked exception list — so the person reviewing it is approving concrete changes rather than starting from a blank field.
What a person still decides
Everything above is throughput. None of it is judgment, and the difference is written into the engagement rather than left to be discovered.
- What a stage actually means. "Proposal Sent" is a definition your team has to agree on and live by. An agent can measure conformance to that definition forever and can never author it.
- Which duplicate is the real record. When both records carry activity, merging is a judgment about which relationship is the live one — and getting it wrong is visible to a customer.
- What you are willing to ask of reps. Every required field is a tax on the person entering it, paid in time they would rather spend selling. Deciding which fields are worth that tax is a management call, not a configuration setting.
- Whether to invest in Act! or leave it. That decision belongs to you, and it should be made against evidence rather than frustration.
- Every write that touches a customer record and cannot be undone. An agent proposes; a named person approves.
Act! CRM customization that fits your sales motion
Generic Act! is generic. We build the environment around your specific sales cycle: custom fields, tailored activity types, pipeline stages that map to real deal milestones, and dashboards your reps will actually open.
- Custom field architecture and layout design
- Sales pipeline and opportunity configuration
- Activity and follow-up sequence templates
- Role-based views for reps, managers and executives
- Automated reminders and task triggers
Act! CRM customization is not cosmetic. The configuration determines what your team records, what gets measured, and which behaviors the system quietly rewards. Misconfigured fields mean missing data, and missing data means forecasts nobody trusts.
Act! CRM development and integration
Act! sitting alone is half a CRM. We connect it to the rest of your stack — email, calendar, marketing tools, web forms, billing and reporting — so data moves without manual entry and your team works from one record.
- Email and calendar sync (Microsoft 365, Google Workspace)
- Marketing automation and email campaign platforms
- Web-to-CRM lead capture
- QuickBooks and billing system sync
- Custom API connectors for proprietary business tools
(Illustrative) A 10-person sales team spending 30 minutes a day each on manual CRM data entry is spending roughly 1,250 hours a year on re-keying — more than half a full-time employee's annual capacity, recorded nowhere as a cost because it is distributed across ten people in five-minute pieces. Integration work is aimed squarely at that number. Run the arithmetic on your own team size and your own honest estimate of the daily minutes; the shape holds even when the inputs change.
How could AI agents run your Act! CRM? Book the Act! CRM audit — 45 minutes, your live Act! data on the screen. You leave with a data-health read (duplicate rate, field completeness, stale-record count), a ranked list of the configuration and integration work that would move your pipeline visibility most, and a written recommendation. If the audit finds your configuration is sound and the real problem is three people who stopped entering data, we will say so — that is a management conversation, not a consulting engagement, and we are not going to sell you a rebuild to avoid it.
Why Facet Interactive as your Act! CRM consultant
Facet has operated as a boutique systems integrator since 2014. We are a CIOReview Top 10 Digital Transformation Services Company (2021) with 25 verified Clutch reviews and a 40-person team across 9 timezones, which means someone is watching your systems when your team is not.
Our network of 500+ open-source web, CRM, data and IT specialists means Act! engagements are staffed with practitioners who have met the edge cases, not junior generalists learning on your data.
We are cross-CRM by design. Facet works with Act!, Salesforce, HubSpot and others, and that perspective is what makes the stay-or-move recommendation worth anything. We are not Act!-partisan; we are outcome-partisan.
Projects range from $6,000 for scoped customization to multi-year managed arrangements. We scope clearly and do not inflate an estimate to create margin.
We do not fabricate results. We will not quote you an ROI percentage we cannot verify. What we will do is model the illustrative impact for your team size and your current state, and then track actuals against that model once the work starts.
What an Act! engagement changes
Outcomes vary with scope, starting state and how actively your team adopts the new configuration. What the work is aimed at:
- A CRM whose stages and deal values describe the business as it is now
- Integration coverage that removes the most common manual re-entry
- Reporting leadership can read without requesting an export
- A monitoring cadence that catches drift in the week it starts rather than the quarter it becomes visible
We define what "working" looks like with you before the engagement begins, so there is a shared measure to hold us to.
Where Act! management goes next
This is a ladder, not a bundle. A clean, well-configured Act! with a monitoring cadence on it is a complete outcome, and plenty of businesses should stop exactly there.
- CRM Services — if the open question is whether Act! is the right platform for where you are going, start with the platform-neutral audit and come back here if the answer is yes.
- AI Managed Services — the run layer, when the loop watching your CRM should also be watching the systems either side of it.
- Agentic Engineering — the build layer, when an integration needs real software behind it rather than a connector.
- Agentic Operating System — the same pattern installed across sales, marketing and operations rather than one system at a time.
FAQ
How much does Act! CRM consulting cost with Facet Interactive?
Project engagements start at $6,000 for scoped customization — a pipeline reconfiguration and field cleanup on an existing installation, for example. Larger development work (custom integrations, full data migrations, complex workflow automation) scales from there. Ongoing Agent Loop management runs as a monthly retainer sized to the monitoring surface and response cadence your environment needs. We scope and price before work begins.
How long does an Act! CRM customization project take?
A focused engagement — field architecture, pipeline stages, basic report configuration — typically runs two to four weeks. Integration work adds time in proportion to the complexity of each connection. Full migrations from another CRM or from legacy Act! formats are scoped individually. You get a timeline tied to specific deliverables during the initial consultation.
Can Facet help us migrate away from Act! if we decide to move?
Yes. Facet works across CRM platforms and has run migrations off Act! without the data-loss and duplicate-record problems that make migration projects fail. If you are weighing whether to invest in Act! or move, we will give you a grounded read on both paths — the real cost and complexity of migration against the real cost of a proper Act! rebuild. We are not Act!-partisan; we are outcome-partisan.
Do you support Act! Cloud and Act! Premium Desktop?
Yes. Our Act! CRM development and managed service work covers both the cloud-hosted and desktop-installed versions. Integration architecture differs between them — desktop installations often need a different approach to sync and to remote access, and that difference is one of the first things the audit establishes. If your team is on an older version and weighing an upgrade path, we will help you evaluate the right version before any customization or migration work begins.
What does the Agent Loop actually monitor?
Four surfaces, on a stated cadence: data hygiene (duplicates, stale records, required-field compliance), integration health (sync errors, failed calls, data lag), pipeline reporting accuracy (stage progression, forecast against actual, activity gaps), and anomalies (unusual drop-offs, volume spikes, configuration errors). Each check produces a signal; signals over threshold produce a proposed action, automated where it is safe and routed to a person where judgment is required.
Your Act! database is the longest continuous record your company keeps
Older than the website. Older than most of the staff. In a lot of the businesses we work with, older than the accounting system. That is the real reason leaving Act! is expensive, and it is also the reason keeping it honest is worth doing properly: every relationship your company has built is described in there, in the vocabulary of whoever was selling at the time.
So the question in front of you is not really Act! against some alternative. It is whether that record still describes your company, or a company you used to be — and whether anyone is close enough to it to notice on the day it stops.
